Law firm handling personal injury and family law needs virtual receptionist managing incoming calls and client inquiries. You would be the first point of contact making sure potential clients get routed properly and existing clients feel taken care of.
Phone and client communication
Answer incoming calls professionally greeting callers and determining their needs. Screen potential new clients asking qualifying questions before scheduling consultations with attorneys. Schedule appointments coordinating attorney calendars and sending confirmations to clients. Route calls appropriately transferring urgent matters to attorneys and taking messages for non-urgent issues. Handle existing client inquiries answering basic questions about case status and next steps. Manage voicemail checking messages regularly and ensuring callbacks happen promptly. Send appointment reminders reducing no-shows for consultations and meetings. Maintain professional demeanor even when clients are upset or frustrated about their legal situations.
Receptionist experience needed
Extensive experience as receptionist or customer service representative handling high call volumes. Background in legal or professional services understanding how to interact with clients professionally. Excellent phone manner speaking clearly with neutral accent Americans understand easily. Ability to stay calm when handling difficult or emotional callers. Organized tracking messages, appointments, and follow-ups without letting anything slip. Available during US business hours when most calls come in. Comfortable using phone systems, scheduling software, and CRM tools. Discretion handling confidential client information appropriately.
