Job Description
We run an outdoor gear e-commerce business that does about $2M in annual revenue. We sell through our Shopify store, Amazon, and a handful of retail partners across Europe. The business is profitable and growing, but our books are becoming a mess because we have been juggling too much internally.
Right now we are processing 2,000+ orders monthly across different sales channels, managing inventory from multiple suppliers, and dealing with three different payment processors. Our accountant keeps asking us to clean up the books before quarterly reviews, and honestly, we need someone who actually knows what they are doing in Xero to take this off our plate completely.
You will be handling everything bookkeeping-related. Recording all our sales from Shopify, Amazon, and wholesale orders. Processing supplier invoices and making sure everyone gets paid on time. Reconciling our bank accounts daily so we know exactly where we stand. Tracking inventory properly so our COGS numbers are actually accurate. And pulling together monthly P&L and balance sheets so we can see how the business is performing without digging through transaction logs.
The tricky part is keeping everything organized across multiple channels. When money hits our Stripe account from Shopify sales, it needs to match up correctly. When Amazon deposits funds after their fee deductions, that needs to reconcile properly. When we pay suppliers for inventory shipments, those need to tie back to our stock levels. It all needs to flow through Xero cleanly so our financials make sense.
We need someone who has done this before for e-commerce or product businesses. You should know Xero really well - not just basic data entry, but actually understanding how to set up tracking categories, handle inventory properly, and keep everything reconciled. If you have worked with Shopify or Amazon Seller Central before, that is helpful because you will understand how those platforms work, but it is not a dealbreaker if you have not.
You need to be detail-oriented because small mistakes compound quickly when you are doing thousands of transactions per month. You should be comfortable working independently because we are not going to micromanage the bookkeeping process. And you need good English communication skills because you will occasionally need to reach out to suppliers or coordinate with our accountant.
This is straightforward bookkeeping work, but it needs to be done right. If you are experienced with Xero and you have handled multi-channel e-commerce accounting before, this should be a good fit.
