Job Description
Between listing and closing, there's a mountain of paperwork, deadlines, and moving pieces that can't afford to slip — and that's exactly where we need help. We're hiring a Transaction Coordinator to manage that entire process from start to finish.
This is not a lead generation or client-facing account management role. Your world is contracts, timelines, and documentation — making sure every file moves smoothly and nothing gets missed along the way.
What the day-to-day looks like
Once a property goes under contract, it becomes your responsibility to keep it on track. That means opening and managing transaction files, reviewing contracts for accuracy and completeness, and keeping a close eye on every deadline — inspection periods, financing contingencies, appraisal windows, closing dates. You'll be coordinating with agents, lenders, title companies, and clients to make sure documents are signed, submitted, and filed correctly and on time.
You'll also be tracking compliance requirements so files are audit-ready, sending timeline reminders before deadlines sneak up on anyone, and troubleshooting issues the moment they surface rather than letting them pile up. Keeping the CRM or transaction management system updated with accurate status and notes is a constant part of the job.
What we're looking for
Someone with real experience coordinating real estate transactions — you understand contract terms, contingency timelines, and the closing process well enough that you don't need it explained. You're the type of person who catches a missing signature or an approaching deadline before anyone has to point it out. Strong written communication matters here, since you'll be looping in agents, clients, and third parties constantly. Comfort with transaction management platforms (like Dotloop, SkySlope, or similar) is expected, and you should be someone who can juggle multiple files at once without letting any of them slip.
Experience with U.S. real estate transactions specifically is preferred, since the paperwork and regulatory requirements vary significantly by market.
