Job Description

We need a virtual assistant who specializes in managing real estate transactions from contract to close. You'll be the backbone of our operations, ensuring every deal moves smoothly through each stage while maintaining compliance and keeping all parties informed.

What You'll Do:

  • Manage transaction timelines and ensure all deadlines are met for inspections, appraisals, financing contingencies, and closing dates
  • Coordinate between agents, clients, lenders, title companies, inspectors, and attorneys throughout the transaction process
  • Prepare and review purchase agreements, addendums, disclosures, and closing documents for accuracy and completeness
  • Track contract contingencies and ensure proper removal or extension within specified timeframes
  • Maintain transaction files in compliance with state regulations and brokerage policies
  • Schedule and confirm appointments for showings, inspections, appraisals, and final walkthroughs
  • Update clients and agents on transaction status through regular communication
  • Process earnest money deposits and coordinate with escrow companies
  • Ensure all required signatures are obtained through digital document platforms
  • Generate commission disbursement sheets and assist with closing cost calculations

Required Experience:

  • Minimum 2 years working as a transaction coordinator in residential real estate
  • Direct experience with Dotloop for managing transaction workflows and documents
  • Proficiency with DocuSign for electronic signature management and document routing
  • Working knowledge of MLS systems for accessing property information and managing listings
  • Understanding of RESPA regulations and closing disclosure requirements
  • Familiarity with state-specific real estate contracts, addendums, and disclosure requirements
  • Experience coordinating FHA, VA, conventional, and cash transactions
  • Knowledge of title commitment review and clearing title issues
  • Background working with multiple listing agreements, buyer representation agreements, and disclosure forms
  • Experience managing earnest money tracking and verifying deposit receipts
