Job Description
We are a boutique digital marketing agency managing campaigns for 20+ SaaS and e-commerce brands. Our team handles everything from paid ads to content marketing, and we need a highly organized Project Coordinator to keep our client projects running smoothly across multiple platforms and deadlines.
As our Project Coordinator, you will be the central hub connecting our creative team, account managers, and clients. You will track deliverables, manage timelines, facilitate communication, and ensure nothing falls through the cracks as we scale our operations.
Project Tracking & Timeline Management
- Maintain project schedboards across 20+ active client accounts in Asana
- Create and update project timelines with clear milestones and dependencies
- Track deliverable status and proactively flag delays or bottlenecks
- Coordinate handoffs between design, content, and paid media teams
- Send weekly status updates to account managers and clients
Team Coordination & Communication
- Schedule and coordinate project kickoff meetings and status check-ins
- Document meeting notes and action items in Notion workspace
- Assign tasks to team members and follow up on completion
- Bridge communication between remote team members across time zones
- Escalate blockers and resource conflicts to leadership
Client Support & Documentation
- Serve as first point of contact for client questions about project status
- Maintain organized project folders with assets, briefs, and deliverables
- Create and update SOPs for recurring project workflows
- Track client feedback and ensure revisions are completed on schedule
- Maintain client-facing project dashboards and reports
Required Experience
- 2+ years experience coordinating projects in marketing, creative, or agency environment
- Expert-level proficiency with Asana for project management
- Strong experience with Notion for documentation and knowledge management
- Excellent written communication skills for client-facing updates
- Proven ability to manage multiple projects simultaneously
- Comfortable with Google Workspace and collaborative tools
- Self-starter who can anticipate needs and solve problems independently
This role requires excellent organizational skills, proactive communication, and the ability to keep multiple stakeholders aligned across different projects and timelines.
