Job Description

Working for a mental health practice is different from working for a standard medical office. Clients are often in vulnerable situations. Confidentiality isn't just policy — it's the foundation of every interaction. A scheduling error or a confusing billing statement can directly impact someone's ability to access care.

We're a private therapy practice and need an Administrator who understands this environment and can manage the operational side with the level of care it requires. You'll be the first point of contact for new and existing clients — handling inquiries, scheduling, insurance verification, intake paperwork, and making sure the administrative side of care never becomes a barrier to it.

Responsibilities:

  • Managing the appointment schedule across multiple therapists — new clients, recurring sessions, cancellations, and waitlists
  • Insurance verification and benefits checks before first appointments
  • Client billing, payment processing, and following up on outstanding balances with appropriate sensitivity
  • Maintaining accurate records in the EHR — SimplePractice, TherapyNotes, or similar
  • Handling intake forms, releases of information, and administrative documentation

Experience in a healthcare or mental health administrative role is required. Fluent English is essential — the tone and clarity of every communication you send affects how safe clients feel engaging with the practice.
