Medical Virtual Assistant

A patient calls to move their appointment, an insurer needs verification before a procedure, a chart is missing a signed form — behind every smooth day at a busy US practice is someone keeping all of it in order. That's the role we're hiring for.

We support US clinics and telehealth practices, and we need a Medical VA who's organized, discreet, and genuinely careful with the details that matter in healthcare. You'll be the administrative backbone that lets providers focus on patients.

On any given day, you might be scheduling and rescheduling appointments across provider calendars, calling insurance companies to verify coverage and benefits before visits, updating patient records in the EHR, and following up on billing — posting charges, checking claim status, and chasing down what's outstanding. You'll handle patient inquiries by phone and email with warmth and professionalism, and you'll treat every piece of information you touch as strictly confidential.

This is not a role to learn healthcare admin from scratch. We're looking for someone who has already worked in a US medical or telehealth setting and knows the rhythm of it — someone comfortable with EHR/EMR systems (athenahealth, eClinicalWorks, Kareo, SimplePractice, or similar), fluent in the basics of insurance verification and medical billing, and familiar with why HIPAA compliance is non-negotiable. Clear, reassuring spoken and written English is essential, since you'll be talking to patients and insurers directly. You'll also need reliable internet and a quiet, private space to work.
