Job Description

About the Role

We're hiring a Marketing Automation & Systems Specialist to design and build complete automated systems — both for our own agency and for every new client we bring on board.

This isn't a role for someone who only builds landing pages or copies existing workflows without understanding why they work. We need someone who genuinely understands how businesses generate revenue and can design systems around that.

You should be comfortable with:

  • Marketing strategy and sales funnels
  • Customer journey mapping
  • Business operations
  • Lead generation and appointment setting
  • Follow-up sequencing
  • Client onboarding and fulfillment
  • Automation architecture

The ideal person can study how a business runs, spot where it's leaking leads or efficiency, propose fixes, and build a working system that solves the problem — not just execute a spec handed to them.

Core Platforms

You'll work primarily in:

  • GoHighLevel (strong experience required)
  • Slack
  • Timeliner (training provided if you're new to it, but you should pick up new tools quickly)

What You'll Be Building

For each client, your job is to map and automate their full customer journey — from first lead touch through to fulfillment and reporting. That includes:

Lead Generation → Capture → Assignment → Follow-Up → Qualification → Booking → Sale → Contract → Payment → Onboarding → Fulfillment → Communication → Reporting

Responsibilities

  • Learn each client's business model, services, and sales process
  • Identify bottlenecks, gaps, and automation opportunities
  • Propose improvements before and during the build
  • Build funnels, landing pages, forms, and booking calendars
  • Set up GoHighLevel pipelines and full end-to-end workflows
  • Integrate Meta Lead Ads and other lead sources
  • Build contact/opportunity logic with duplicate prevention
  • Configure lead routing (round-robin or assigned)
  • Build SMS/email follow-up sequences and nurture campaigns
  • Build appointment booking, reminders, and no-show automations
  • Connect GoHighLevel activity to Slack notifications
  • Automate contracts, payments, and onboarding handoffs
  • Set up client projects and task tracking in Timeliner
  • Build custom fields, tags, triggers, and smart lists
  • Test all automations thoroughly before launch
  • Troubleshoot broken workflows and integration issues
  • Document completed systems and record short training walkthroughs
  • Maintain and refine systems post-launch

You Should Understand

Beyond the technical build, you need real marketing fluency — funnels, offers, CTAs, lead qualification, conversion optimization, nurturing, retention, upselling, pipeline management, paid ads, onboarding, and fulfillment. We want someone who can look at a client's process and flag things like a missing follow-up step, a slow response time, or an automation that could lift show-up rates — without needing it spelled out.

Requirements

  • Strong hands-on GoHighLevel experience
  • Track record building complete automation systems, not isolated pieces
  • Funnel and landing page building experience
  • Solid grasp of CRM pipelines and opportunity management
  • Experience with SMS/email automation and appointment workflows
  • Experience with Slack integrations
  • Strong troubleshooting, testing, and documentation habits
  • Excellent written communication
  • Self-directed, deadline-driven, and available to start immediately

Nice to Have

  • Marketing agency background
  • Meta Lead Ads integration experience
  • Stripe or other payment automation
  • GoHighLevel Voice AI or AI-driven lead qualification
  • Zapier, Make, APIs, or webhooks
  • Experience building onboarding/fulfillment systems
  • SOP and training video creation
  • Managing automation across multiple client accounts

Compensation & Growth

Starts as a part-time role with a performance-based bonus for each fully built, tested, documented, and approved client system. After 30-60 days, strong performers may move into a full-time position with a pay increase, based on quality, speed, reliability, communication, and overall value delivered.

Possible Paid Test Project

Shortlisted candidates may be asked to complete a paid test — for example, reviewing an existing workflow, identifying gaps, fixing an automation, connecting a Slack notification, or organizing part of a client process in Timeliner, followed by a short video walkthrough.

Application Questions

Please answer the following:

  1. Years of GoHighLevel experience
  2. Have you built a full lead-to-onboarding system before?
  3. What types of businesses have you built systems for?
  4. How do you get up to speed on a new client's business before building?
  5. How do you spot problems in a sales or marketing process?
  6. Can you share examples or screen recordings of past work?
  7. Experience with Slack integrations?
  8. Experience with Meta Lead Ads?
  9. Experience with Stripe, Zapier, Make, APIs, or webhooks?
  10. How do you prevent duplicate contacts, opportunities, or messages?
  11. How do you test a workflow before it goes live?
  12. Are you comfortable proposing better solutions rather than just following instructions?
  13. Weekly availability?
  14. Time zone?
  15. Earliest start date?

How to Apply

Send your name, location/time zone, GoHighLevel and funnel experience, work samples or screen recordings, weekly availability, earliest start date, a short explanation of how you'd automate a business from first lead to onboarding, and one example of a time you improved a process rather than just executing instructions as given.

This role isn't a fit for someone who only knows basic landing pages or copy-paste workflows — we need someone who thinks in systems.
