Because our work involves strict court deadlines and highly sensitive personal data, we require an administrative backbone that is both organized and discreet.
Job Summary We are seeking a dedicated Legal Virtual Assistant to support our attorneys in managing a high-volume caseload. In this role, you will be responsible for the administrative lifecycle of a case—from initial client intake to the final filing of legal documents. Your primary goal is to ensure the office runs efficiently, deadlines are never missed, and our digital files remain audit-ready at all times.
Responsibilities
- Document Preparation: Draft and format legal documents, including Wills, Power of Attorney, and Trust agreements, based on attorney notes and templates.
- Court Filing: Manage the e-filing process through various court portals and ensure all submissions meet local court rules.
- Calendar Management: Maintain the firm’s master calendar, tracking court dates, filing deadlines, and client consultations.
- Client Intake: Act as the first point of contact for new leads, conducting initial screenings to gather relevant case information.
- Correspondence: Handle professional communication with clients, witnesses, and opposing counsel via email and phone.
- File Organization: Manage our cloud-based practice management system, ensuring all documents are correctly named, tagged, and filed.
Qualifications
- Proven experience as a Legal Assistant, Paralegal, or Legal VA.
- Familiarity with legal terminology and the civil litigation or probate process.
- High proficiency in Microsoft Word (specifically formatting and styles) and DocuSign.
- Ability to handle confidential information with the utmost integrity.
- Strong attention to detail—you should be able to spot errors in complex legal citations.
