Job Description
Position: Intellectual Property Law Assistant
Role Overview
This position provides specialized administrative support for intellectual property law practice, focusing on patent and trademark matters within the United States legal system. The role requires comprehensive understanding of USPTO procedures and meticulous attention to documentation accuracy.
Core Responsibilities
Document Preparation and Filing
- Prepare and format patent applications, responses to office actions, and trademark submissions
- Organize and maintain electronic filing systems for intellectual property documentation
- Proofread legal documents for accuracy, completeness, and compliance with formatting requirements
- Assist with document production for litigation and administrative proceedings
Procedural Management
- Track and calendar critical deadlines for filings, responses, and maintenance requirements
- Coordinate correspondence with the United States Patent and Trademark Office
- Manage communication with clients regarding case status and requirements
- Monitor intellectual property portfolios for upcoming deadlines and actions required
Research and Administrative Support
- Conduct preliminary trademark clearance searches and patent status inquiries
- Assist with client intake procedures and conflict checking
- Prepare timekeeping and billing documentation
- Schedule meetings and manage attorney calendars
Technical Requirements
- Proficiency with USPTO electronic filing systems (TEAS, PAIR, EFS-Web)
- Experience with legal document management software
- Advanced skills in Microsoft Office applications
- Familiarity with docketing and case management systems
Professional Qualifications
- Minimum two years experience in intellectual property law support
- Demonstrated knowledge of USPTO procedures and requirements
- Understanding of patent and trademark prosecution processes
- Experience preparing legal documents with precision and accuracy
Confidentiality and Ethics
All work must maintain strict attorney-client privilege and confidentiality standards. This includes secure handling of sensitive intellectual property information and client communications.
Work Schedule
This position requires 9-hour workdays aligned with United States business hours to facilitate coordination with legal professionals and government agencies.
The successful candidate will demonstrate both technical proficiency with intellectual property systems and the professional judgment required for supporting legal practice in this specialized area.
