Job Description

We're not looking to train someone into this role — we need an Executive VA who's already spent real time supporting tech startup founders and knows what that actually looks like day to day: fast decisions, shifting priorities, and a founder who doesn't have time to explain things twice.

Minimum 3 years of experience in this exact kind of role is a hard requirement.

What the role actually involves

You'll own the founder's calendar — not just booking meetings, but actively protecting their time and resolving conflicts before they become problems. Inbox management is a big part of it too: knowing what's urgent, what can wait, and what you can just handle yourself.

Beyond that, you'll be coordinating travel (including the messy multi-leg kind), prepping meeting agendas and tracking follow-ups, keeping documents and contracts organized, and supporting investor relations logistics — scheduling calls, prepping materials, making sure nothing falls through after a call ends.

You'll also be the connective tissue between the founder and other team members, contractors, or vendors — handling coordination so the founder doesn't have to. And when something needs quick research or a fast decision, you'll dig in and get it done without waiting to be told exactly how.

The best people in this role anticipate needs before they're voiced. That's really the core of it.

What we need from you

  • At least 3 years specifically as an Executive VA to a startup or tech founder
  • Comfort operating in a fast-moving, ambiguous environment where priorities shift daily
  • Excellent written and spoken English
  • A high level of discretion — you'll be trusted with sensitive information
  • Strong organizational instincts and the ability to juggle multiple priorities without losing track of details
  • A proactive streak — you make reasonable calls independently instead of waiting for instructions
  • Familiarity with tools like Google Workspace, Notion, Slack, and common project management platforms
  • Bonus: experience supporting a founder through fundraising, hiring pushes, or other high-stakes stretches
  • Ability to overlap with the founder's working hours
