Job Description

We're a small startup looking for an Executive Assistant to manage the founder's schedule, coordinate all meetings, and handle logistics that keep the business running smoothly. You'll be the first point of contact for external partners and the internal organizer who ensures nothing falls through the cracks. This role requires excellent judgment, discretion, and the ability to prioritize competing demands in a fast-moving environment.​

Responsibilities

Calendar and meeting management is your primary focus. You'll schedule and coordinate meetings with external clients, partner companies, and investors, managing time zones and conflicting priorities. Internally, you'll organize team meetings, one-on-ones, and company-wide gatherings. You'll prepare meeting agendas, take notes when needed, and follow up on action items to ensure nothing gets dropped.​

Travel coordination includes booking flights, hotels, and ground transportation for both domestic and international trips. You'll create detailed itineraries, handle visa requirements when necessary, manage travel expenses, and adjust plans quickly when things change.​

Communication management means you'll screen emails, prioritize what needs immediate attention, draft responses for routine inquiries, and ensure the founder stays focused on high-priority work. You'll also coordinate with vendors, service providers, and maintain relationships with key external contacts.​

Administrative operations include expense tracking and report preparation, document organization and file management, vendor coordination for office needs, and special projects as the company grows.​

Requirements

3+ years as an executive assistant, preferably supporting C-level executives. Exceptional organizational skills with proven ability to manage complex calendars and multiple priorities simultaneously. Outstanding written and verbal communication skills with professional presence. Extreme attention to detail and ability to anticipate needs before they're stated. Comfortable with ambiguity and rapid changes typical in startup environments. Tech-savvy with proficiency in Google Workspace, Slack, Zoom, and calendar management tools. Discretion and trustworthiness when handling confidential information. Self-starter who takes initiative and solves problems independently.​

 Remote position requiring flexibility for scheduling across time zones. Must have reliable internet connection and professional communication setup for client-facing interactions.
