E-commerce Operations Virtual Assistant

Shopify-based online retail store processing 100-200 orders weekly needs operations support to handle order fulfillment, inventory management, and supplier coordination while I focus on marketing and growth.

Daily operations tasks

Process daily orders and send fulfillment instructions to our warehouse partner. Update inventory levels in Shopify as stock arrives or sells out. Communicate with suppliers about purchase orders, shipping delays, and product issues. Upload new products to Shopify with descriptions, pricing, images, and variants. Monitor low stock items and create purchase orders before stockouts. Track shipments and update customers about delivery status. Handle order modifications and cancellations before fulfillment. Maintain organized spreadsheets tracking inventory, orders, and supplier information. Coordinate with freight forwarders on international shipments.

Skills required

Experience managing Shopify store backend including products, orders, and inventory. Understanding of e-commerce fulfillment workflows and logistics. Strong organizational skills juggling multiple suppliers and orders. Proficiency with spreadsheets for inventory tracking and analysis. Clear written communication for supplier and customer coordination. Problem-solving ability when orders have issues or complications. Detail orientation to catch errors before they reach customers.

What we need

1-2 years working with e-commerce operations or as e-commerce VA. Shopify experience specifically, not just general e-commerce knowledge. Comfort communicating with international suppliers about orders and issues. Proactive approach to identifying potential stockout or fulfillment problems. Reliability in processing orders daily without missing deadlines. English fluency for supplier communication and customer updates.

Work details: $1000 monthly, remote position with flexibility across US/Europe/Asia time zones. Daily responsibilities requiring consistent attention. Long-term role supporting growing online business. Your organization keeps our customers happy and inventory flowing smoothly.
