Job Description
The CRM is a mess. HubSpot has been set up by three different people over two years — the pipeline stages don't reflect how deals actually move, half the contact data is incomplete, automations conflict with each other, and the sales team has stopped trusting what they see in the dashboard. Before we can scale sales operations, we need someone to fix the foundation.
We're looking for a CRM Manager who can audit what we have, clean it up, and rebuild it into something the sales and marketing teams actually use. This isn't a set-it-and-forget-it implementation role — you'll own the CRM ongoing, maintain data quality, and build the workflows that support how the business actually operates.
The work
- Auditing the current HubSpot setup — pipeline stages, contact properties, data quality, automations, and integrations — and producing a prioritized remediation plan
- Rebuilding the pipeline structure and deal stages to accurately reflect the sales process, with clear definitions the whole team follows
- Cleaning and enriching contact and company data — deduplication, missing fields, and standardization across the database
- Building and maintaining automated workflows — lead routing, follow-up sequences, deal stage triggers, and activity reminders
- Integrating HubSpot with the rest of the tech stack — marketing tools, billing, and customer support
- Training the sales and marketing teams and maintaining documentation as processes change
- Reporting weekly on pipeline health, deal velocity, lead source performance, and CRM data quality
3+ years of HubSpot administration in a sales-driven company is required. You need to understand sales process well enough to translate it into CRM logic — not just know where to click. US timezone. Fluent English.
