Job Description
Monday morning. Three active job sites, two bids due this week, a subcontractor who hasn't returned a signed contract, and the permit for one project is still pending. The project manager is on-site and unreachable. This is a normal Monday.
We need a Construction Project Administrator who can manage the behind-the-scenes complexity of running multiple projects simultaneously without losing track of anything. You won't be on the job sites — you'll be making sure everything that needs to happen off-site actually gets done.
What that looks like day to day:
- Bid preparation support — compiling materials, formatting proposals, tracking submission deadlines
- Subcontractor coordination — sending contracts, chasing signatures, tracking COIs and W-9s
- Permit tracking — following up with municipalities and flagging delays before they hit the schedule
- Project documentation — RFIs, submittals, change orders, meeting minutes, punch lists
- Purchase order management and basic budget tracking against project estimates
- Client communication support — scheduling updates, progress reports, approval follow-ups
Prior experience in construction administration or project coordination in a trade or contractor business is required. The terminology and workflow need to be familiar from day one. Fluent English, full-time, US hours.
