Job Description
The administrative side of a construction business is where projects go wrong before anyone picks up a tool. Permits stall because nobody followed up. Subcontractor contracts sit unsigned for two weeks. Change orders get verbal approval and never make it to paper. Bids go out late because the person who should have been preparing them was on-site instead.
We're a general contracting company and need a Project Administrator who can own the off-site operations side of active jobs — keeping documentation tight, deadlines tracked, and communication moving between the field, the office, and clients.
What you'll be managing:
- Bid packages — compiling scope, formatting proposals, tracking deadlines and follow-ups
- Subcontractor administration — contracts, insurance certificates, W-9s, and lien waivers
- Permit applications and municipal follow-up — knowing where each permit stands and escalating when it stalls
- Project documentation — RFIs, submittals, change orders, daily reports, and meeting minutes
- Budget tracking — purchase orders against estimates, flagging overruns before they compound
- Client communication support — progress updates, approval requests, and scheduling coordination
You need to have worked in construction before — general admin experience doesn't transfer here. The terminology, the workflow, and the pace of a project-driven business need to be familiar from day one. Fluent English required, full-time, US hours.
