Job Description
We need a Transaction Coordinator to manage real estate deals from contract to close. You'll keep transactions on track, ensure deadlines are met, coordinate between all parties, and make sure nothing falls through the cracks during the closing process.
Responsibilities
Review purchase agreements and create transaction timelines with all critical deadlines. Open escrow and coordinate with title companies, lenders, and escrow officers. Manage all transaction documentation including disclosures, addendums, and inspection reports. Track contingency deadlines and ensure buyers, sellers, and agents meet all requirements on time. Schedule inspections, appraisals, and final walkthroughs. Communicate daily with agents, clients, lenders, and title companies to keep everyone informed. Update transaction management systems with current status and document uploads. Prepare closing documents and coordinate final signatures. Follow up on outstanding items and resolve issues that could delay closing. Maintain organized digital files for each transaction with complete documentation.
Requirements
2+ years experience as a real estate transaction coordinator or in a real estate office environment. Strong understanding of real estate contracts, timelines, and closing processes. Familiarity with MLS systems and transaction management software Dotloop. Excellent organizational skills with ability to manage multiple transactions simultaneously. Strong attention to detail to catch missing documents or approaching deadlines. Clear communication skills for coordinating with multiple parties. Ability to problem-solve when issues arise during transactions. Self-directed with strong time management and ability to work independently. Comfortable using Google Workspace, DocuSign, and cloud-based file systems.
