Job Description

We are a fast-paced, high-performing real estate team based in the United States, looking for a sharp, reliable, and proactive Virtual Assistant to support our sales operations.

This is not a typical VA role. You’ll be working directly with agents and leadership inside a results-driven environment, helping manage inbound leads, maintain systems, and ensure no opportunity is missed.

If you’ve worked within a real estate team and understand how deals actually move from lead to close, this role is for you.

What You’ll Be Doing

  • Answer inbound calls from buyers and sellers (US-based clients)
  • Qualify incoming leads and route them to the right agents
  • Manage and update CRM systems (Follow Up Boss)
  • Communicate daily with the team via Slack
  • Handle and respond to Zillow Premier Agent leads
  • Maintain clean, accurate, and organized databases
  • Track conversations and ensure timely follow-ups
  • Support agents to ensure no deal or opportunity falls through

What We’re Looking For

  • Proven experience working with US real estate teams (REQUIRED)
  • Familiarity with:
    • Follow Up Boss (FUB)
    • Slack
    • Zillow Premier Agent (Zillow Flex is a strong plus)
  • Strong English communication skills (spoken and written)
  • Comfortable speaking with American clients over the phone
  • Availability to work US hours (Central Time preferred)
  • Reliable high-speed internet and a quiet work environment
  • Highly organized and detail-oriented
  • Consistent, punctual, and dependable
  • Strong work ethic with the ability to work independently
