Job Description

Some people are great at answering calls.

Others are great at helping people take action.

We're looking for someone who can do both.

In this role, you'll manage the journey from initial inquiry to completed enrollment. You'll be the person families speak with first, the person who keeps the process moving forward, and the person who ensures no lead falls through the cracks.

This is a high-activity, phone-based role where success is measured by responsiveness, follow-through, completed intakes, and enrollment conversions.

What You'll Own

New Family Pipeline

  • Respond to incoming inquiries quickly and professionally
  • Conduct intake screenings and gather required information
  • Explain the onboarding process and next steps
  • Guide families from first contact through scheduling
  • Ensure all required documentation is completed

Follow-Up & Conversion

  • Manage a large volume of calls, texts, emails, and follow-ups
  • Reconnect with families who have stalled in the process
  • Keep prospects engaged until enrollment is complete
  • Follow scripts and proven communication frameworks
  • Track progress and remove obstacles that delay onboarding

Intake Coordination

  • Maintain accurate records in CRM and intake systems
  • Update family status throughout the enrollment process
  • Coordinate with scheduling, billing, and clinical teams
  • Ensure every step is completed correctly and on time
  • Escalate issues when additional support is needed

You'll Likely Excel If You Have Experience In

  • Medical intake
  • Patient coordination
  • Appointment setting
  • Call centers
  • Customer success
  • Admissions or enrollment
  • Sales support
  • High-volume customer service

What Matters Most

✔ Strong phone communication skills

✔ Confidence handling a high number of daily conversations

✔ Exceptional follow-up habits

✔ Ability to stay organized while managing multiple families at different stages

✔ Professional and empathetic communication

✔ Comfortable working toward enrollment and conversion goals

✔ Ability to work independently without constant supervision

Preferred Experience

  • Healthcare or therapy-related services
  • Insurance verification or healthcare administration
  • CRM and intake management platforms
  • KPI-driven environments
  • Fast-paced client-facing roles

The Right Person For This Role

You're naturally proactive.

You don't wait for people to follow up—you follow up with them.

You enjoy talking with people, building trust, and helping them move forward with important decisions.

You take ownership of your pipeline, stay organized under pressure, and genuinely care about delivering a positive experience while achieving measurable results.

When Applying

Please include:

  • A summary of your intake, customer service, enrollment, or sales experience
  • Systems and CRM platforms you've used
  • An example of a situation where consistent follow-up helped achieve a successful outcome
  • Your availability and preferred working hours
  • Your experience working in phone-heavy environments
