Paid speaking and appearance opportunities are great business — until managing the logistics starts eating into the actual work. That's the gap we're filling: someone to own the entire booking process for a consultant who does regular paid appearances, so inquiries don't sit unanswered and no fee negotiation slips through the cracks.
How the role breaks down
Inbound inquiries come in from event organizers, conference planners, and companies looking to book a speaker — you'll be the first point of contact, qualifying each opportunity and gathering the details needed to evaluate it: audience size, format, date, budget range. From there, you'll handle fee negotiation directly with organizers, working within agreed rate guidelines while making sure every booking is worth the time commitment.
Once a booking is confirmed, the coordination work begins — contracts, travel arrangements, technical requirements, and event-day logistics all need to be nailed down well ahead of time. You'll keep a running calendar of confirmed and pending engagements, follow up on outstanding contracts or payments, and make sure nothing about an upcoming appearance is left to chance.
You'll also be tracking the pipeline of inquiries so promising leads don't go cold, and keeping records organized enough that past engagements, rates, and organizer relationships are easy to reference later.
What we're looking for
Someone who's coordinated bookings, events, or talent logistics before and is comfortable negotiating on someone else's behalf. Strong written and verbal communication is essential, since you'll be representing the speaker in every interaction with organizers. You should be detail-oriented enough to manage contracts, dates, and travel logistics without anything slipping, and confident enough to hold firm on rates during negotiation.
A plus if you have
Experience booking speakers, entertainers, or consultants specifically. Familiarity with speaker bureau processes or talent agency workflows. Comfort managing a CRM or booking pipeline tool to track inquiries and follow-ups.
