Job Description
A UK-based startup is looking for a highly organized, tech-savvy Executive Assistant to help bring structure, efficiency, and automation to daily operations.
This is a remote position that will begin on a part-time basis, with the potential to expand as the business grows. We're seeking someone who enjoys building systems, improving processes, and finding smarter ways to get work done.
You'll work closely with leadership to manage priorities, keep projects moving, and ensure important tasks don't get lost in the day-to-day noise. A big part of the role involves transforming emails, ideas, and discussions into actionable tasks, then tracking those tasks through completion.
Beyond traditional executive support, you'll be expected to think operationally. That means organizing workflows, improving processes, identifying opportunities for automation, and helping create systems that make the business more effective over time.
Previous experience in executive support, operations, project coordination, startup environments, or administrative management will be valuable. Strong written English and excellent organizational skills are essential.
You should already be comfortable working with modern productivity and project management platforms such as Asana, Trello, ClickUp, Notion, Google Workspace, or similar tools. Experience managing task boards, deadlines, priorities, and follow-up systems is more important than formal project management credentials.
AI proficiency is a core part of this role. We're looking for someone who actively uses AI tools to improve productivity, automate repetitive work, streamline research, and support decision-making. You should be prepared to discuss practical examples of workflows you've built, processes you've improved, and ways you've used AI to save time or increase efficiency.
The role may involve:
- Managing calendars, inboxes, reminders, and follow-ups
- Organizing projects, action items, and task tracking systems
- Supporting operational and administrative activities
- Researching grants, funding opportunities, and business resources
- Creating workflow automations and productivity systems
- Improving internal processes and identifying efficiency gains
- Coordinating priorities across multiple business initiatives
