Job Description

A typical day in this role could start with sending a customer proposal, checking inventory levels on the website, coordinating a freight shipment, following up on an outstanding customer request, and finishing the day by preparing an email campaign or updating CRM records.

We're looking for an Administrator who can support multiple areas of the business while maintaining accuracy, professionalism, and strong communication.

Your responsibilities will include:

• Creating proposals and invoices in QuickBooks

• Updating inventory and product information on the company website

• Requesting and coordinating freight quotes and shipments

• Processing approved vendor payments

• Following up with customers regarding projects, orders, and outstanding items

• Providing project status updates and maintaining communication

• Creating and sending email campaigns through Constant Contact

• Researching and building targeted email lists within the cold storage, food processing, and industrial refrigeration industries

• Maintaining accurate CRM records and customer information

The ideal candidate is someone who:

• Enjoys organization and administrative work

• Can manage multiple tasks without losing attention to detail

• Communicates professionally with customers and vendors

• Is comfortable learning new systems and processes

• Takes ownership of responsibilities and follows through consistently

Experience with the following is highly preferred:

• QuickBooks

• CRM platforms

• Constant Contact or similar email marketing software

• Freight coordination or logistics administration

• Inventory management

• Spreadsheet and database management
