Job Description

Growing software implementation partner based in Perth, Australia seeks a Project Management Assistant to support our expanding client portfolio across the Asia-Pacific region. Our company specializes in helping businesses transition from legacy systems to modern cloud platforms, with particular expertise in enterprise resource planning and customer relationship management implementations. We have built our reputation on delivering complex software projects on time while maintaining strong client relationships throughout the implementation lifecycle.

Project Coordination Responsibilities

Support project managers in tracking implementation timelines, milestones, and deliverables across multiple client engagements. Maintain and update project documentation including status reports, risk registers, and client meeting minutes. Coordinate scheduling for project meetings, client workshops, and system demonstration sessions across different time zones. Monitor project task completion and follow up with team members on upcoming deadlines and dependencies. Assist in preparing client-facing materials for project reviews, steering committee meetings, and progress updates. Help track project budgets and resource allocation against planned expenditures. Maintain organized project files and documentation repositories for easy team access and client reference. Facilitate communication between technical teams, client stakeholders, and project leadership.

Implementation Support Activities

Assist in preparing for client implementation phases including requirements gathering, system configuration, and user acceptance testing. Help coordinate training sessions and materials for client teams adopting new software systems. Track issue resolution and change requests throughout the implementation process. Support data migration planning and execution activities between old and new systems. Help prepare go-live checklists and post-implementation support plans. Monitor project risks and issues logs, escalating concerns to project managers when needed. Assist in gathering client feedback and satisfaction metrics after project milestones.

Qualifications and Background

Previous experience in project coordination or administrative support roles, preferably in technology or professional services. Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously. Excellent written communication skills for professional client correspondence and documentation. Comfortable working with project management tools and collaborative software platforms. Detail-oriented approach to tracking project information and maintaining accurate records. Ability to work effectively in a remote team environment across different locations and time zones. Understanding of software implementation lifecycles or technology project methodologies is advantageous. Availability during Asian business hours to align with our client base across the region.
